Our Process

Every file — a $25 notarization or a $895 commercial closing — moves through the same four stages, with a written status note at the end of each one.

Stage 1 — Intake call (free, 15 minutes)

We ask what you are trying to accomplish, what the deadline is and who else is involved. Two things come out of this call: a clear scope, and an honest answer about whether the matter belongs with us or with a licensed attorney.

You receive: a summary email the same day listing what we understood and what we need from you.

Stage 2 — Written quote and engagement

A flat fee, an itemised scope, a delivery date and the name of your coordinator. Fees paid to government offices are listed separately at cost. Nothing starts until you approve the quote in writing and the 50% deposit clears.

You receive: the quote, the engagement letter and our written disclosure that we are not a law firm.

Stage 3 — Preparation and coordination

Drafting, county record checks, title and payoff coordination, and contact with lenders, agents or the Secretary of State as the matter requires. One revision round is included. If anything threatens the delivery date, you hear it from us the same day it comes up.

You receive: drafts for review with plain-English notes on each section.

Stage 4 — Signing, filing and handover

Execution with the required witnesses and a commissioned Ohio notary, in person or by remote online notarization. Recording or filing where the document calls for it, then confirmation from the county or state.

You receive: an indexed digital set of everything, plus a printed binder on request.

Communication

You will always know who has the ball

The most common complaint people bring us about a previous provider is not price. It is silence. So we set expectations in writing at the start:

  • Emails answered within one business day, always
  • Phone calls during business hours answered by a person, not a menu
  • A status note at the close of each stage, even when the status is “still waiting on the lender”
  • Any risk to the delivery date reported the day it appears, with options

Documents to gather

What to have ready before the intake call

You do not need all of this to call us — but having it nearby makes the first fifteen minutes considerably more useful.

Property matters

  • The signed purchase contract, if there is one
  • The most recent recorded deed
  • Mortgage or loan statements for any liens
  • The county parcel number
  • Lender and agent contact details

Estate matters

  • Full legal names of your agents and beneficiaries
  • A rough list of assets and account institutions
  • Any existing will or power of attorney
  • Deeds for real property you own
  • Names of two people who can act as witnesses

Business matters

  • Two or three preferred company names
  • Full legal names and addresses of members or shareholders
  • Ownership percentages agreed between owners
  • Your intended business address in Ohio
  • Your CPA’s details, if you have one

Notary appointments

  • The unsigned document — do not sign it in advance
  • Unexpired government photo ID for every signer
  • The notarial certificate wording the receiving party requires
  • Whether witnesses are needed, and how many
  • The address and time that suits the signers
