2. Information we collect
We collect only what we need to answer an enquiry and deliver a service.
- Information you give us: name, email address, telephone number, postal address, county, the description of your matter, and any documents you choose to send us.
- Service information: details required to prepare your documents, which may include identification data, property details, financial account references and family or beneficiary names.

We do not knowingly collect information from anyone under 18 years of age.
3. How we use information
- To respond to enquiries and provide a written quote
- To prepare, review, notarize, file and record the documents you engage us for
- To communicate with lenders, title agencies, county offices and state agencies where your matter requires it
- To take payment and issue invoices and receipts
- To meet legal, notarial journal and record-retention obligations
- To measure how visitors find and use this website so we can improve it
- To detect and prevent fraud, misuse and security incidents
4. Legal bases
We process personal information to perform a contract with you, to comply with legal obligations such as notarial record keeping, with your consent for optional cookies and marketing, and for our legitimate interests in operating and securing a small professional business.
5. Cookies, analytics and advertising
This website uses strictly necessary cookies to function. With your consent we also use analytics and advertising cookies, which may include Microsoft Advertising and the Microsoft UET tag, Bing Webmaster Tools verification, and Google Analytics. These help us understand which pages bring enquiries and measure advertising performance. Advertising partners may set cookies that allow them to show our ads to people who have visited this site. You can accept or decline non-essential cookies using our banner, and change your choice at any time through the Cookie Policy page. Declining does not affect your ability to use the site or contact us.
6. Sharing your information
We do not sell personal information, and we never have. We share information only with: title agencies, lenders, county recorders, courts and the Ohio Secretary of State as your matter requires; independent attorneys or CPAs where you ask us to make a referral; our payment processor, email provider, secure document storage provider and website host, each bound by contract to protect your data; and law enforcement or regulators where we are legally compelled.
7. International transfers
Our services are directed to clients in the United States and our records are held on servers located in the United States. If you contact us from outside the US, you understand that your information will be processed in the US, where data protection law differs from that in your own country.
8. Security
Files are encrypted in transit using TLS and at rest, access is restricted to the staff assigned to your matter, accounts require multi-factor authentication, and paper records are stored in locked cabinets and shredded on a scheduled cycle. No system is perfect, and we will notify affected individuals promptly if a breach is likely to cause them harm.
9. How long we keep information
- Enquiries that do not become engagements: 12 months
- Client matter files: 7 years from completion
- Notary journal entries: as required by Ohio law, and at least 5 years
- Accounting and tax records: 7 years
- Website analytics: 26 months at most
10. Your rights
You may ask us to give you a copy of the personal information we hold about you, correct information that is inaccurate, delete information we no longer need to keep, restrict or object to certain processing, or withdraw consent for cookies and marketing. Write to admin@waheedmirza.ca and we will respond within 30 days. We will never charge you or treat you differently for exercising a privacy right.
Residents of California, Colorado, Connecticut, Virginia and other states with comprehensive privacy laws have these rights by statute, including the right not to have personal information sold or shared for cross-context behavioural advertising. We do not sell or share personal information for those purposes.
11. Do Not Track and opt-out signals
We honour the Global Privacy Control signal where your browser sends it, treating it as a withdrawal of consent for non-essential cookies.
12. Changes to this policy
If we change this policy we will update the date at the top of the page, and for material changes we will place a notice on the home page for 30 days.
